Check out any on-property item — towels, kayaks, snorkels, beach chairs, cabanas, bikes, gear — to a guest, meter the rental, and land every charge on their one on-property account, settled once at debark. No paper tickets, no bearer cards.
One checkout desk for every loanable item on a property — towels, kayaks, snorkels, beach chairs, cabanas, bikes, gear. Set each type as a free loan or a paid rental, hand it to a guest resolved by cabin, room, card, or wristband, and every fee lands on their one on-property account and settles once at debark. No paper tickets, no value stored on a card.
What's included
One catalog for every loanable item — set each type as a free loan (deposit / replacement value only) or a paid rental
Paid rentals bill flat, per period (per day / half-day), or hourly-metered on return — priced per type
Pooled inventory keeps a live available count so you can't hand out more kayaks than you own; unlimited items never run dry
Charge to the guest's one closed-loop on-property account — the same account the F&B check and shop purchase land on — visible in real time and settled at debark
Damage assessed on return posts as its own line, with a condition photo run through content moderation
Anything still out at debark posts its replacement value automatically — the unreturned sweep never silently drops an item
The guest is resolved by cabin, room, card, or wristband — a key, never a bearer claim; no value lives on the token
A required waiver or intake form can gate checkout of higher-risk gear (watercraft, bikes)
About this module
Start with a catalog of asset types. Each type declares how it charges: a free loan, where you track only a deposit and the replacement value if it never comes back, or a paid rental billed flat, per period such as a day or half-day, or hourly-metered at return, with an optional overdue penalty. Availability is either unlimited — towels — or a pooled quantity that decrements on checkout and returns on check-in, so the desk cannot hand out more kayaks than the property owns. The catalog editor auto-saves as you work, with a status pill rather than a Save button to remember.
The desk itself does three things. It resolves the guest — by name, cabin, room, card, or wristband — and checks an item out. It checks items back in, where a staff member can assess damage that posts as its own line with a condition photo run through the platform moderation pipeline. And it keeps an Outstanding view of everything still out with the exposure attached: the replacement value that will post if each item is never returned. At debark, anything still out posts that replacement value automatically. The unreturned sweep is the part that quietly stops a property from writing off gear every season.
The money path is the same one the rest of the property already uses. The cabin number, card, or wristband is a key that identifies the guest — never a bearer claim, and no value lives on the token itself, so losing it costs the guest nothing. Every fee the desk posts, whether rental, overdue, damage, or unreturned replacement, lands off-rail on the guest's one closed-loop on-property account, the same account their dinner check, shop purchase, and spa treatment land on. The guest sees it in real time and settles once, at the end. Higher-risk gear such as watercraft or bikes can require a waiver or intake form before checkout completes.
What you can do with it
A beach hut hands out towels and chairs as free loans, tracking only deposits and replacement value
A watersports desk rents kayaks hourly and meters the charge at return
Cabanas rent per half-day against a pooled count that cannot be oversold
A bike comes back damaged and the assessed charge posts as its own line with a condition photo
A snorkel set is never returned, and its replacement value posts automatically in the debark sweep
