Expense reports

The Expense Reports feature lets employees submit expense reports for manager approval and reimbursement. It lives in Workforce → Expense Reports.

Creating an expense report:
1. Workforce → Expense Reports → + New Expense Report
2. Enter a title, period start and end dates, and an optional description
3. Add line items manually — each item has a date, category (Meals, Travel, Lodging, etc.), description, and amount
4. Submit for approval

Auto-importing from a Work Trip:
If the Travel module is enabled on your org and you have Work Trips in My Trips, a "Import from Work Trip" section appears when creating a new report. Select a work trip to:
• Pre-fill the report title with the trip name
• Set the period dates from the trip's start and end dates
• Auto-create line items for every flight and hotel on the trip
— Flights appear as Travel items with the route as the description
— Hotels appear as Lodging items with the property name and check-in/check-out dates

Fill in the amounts for the auto-created items (amounts are not imported automatically), then add any additional expenses before submitting.

Adding a receipt photo (AI extraction):
On any expense item, tap "Attach receipt" and upload a photo of the receipt — phone camera, drag-and-drop, or file picker. Turtini OCRs the image and pre-fills the merchant, date, total, and category guess. Review and tweak the fields before saving — extraction is fast but not perfect, and you stay in control of the final values. See: "Receipt upload — auto-extracting expense items from photos" for the full flow, accepted formats, and what happens when the AI is unsure.

Adding restaurant receipts:
From the receipt page of any restaurant order, signed-in employees can tap "Add to Expense Report" to jump straight to a new report pre-filled with the meal total.

Expense report statuses:
• Draft — not yet submitted
• Submitted — sent to your manager for review
• Approved — manager has approved; ready for reimbursement
• Rejected — returned with comments; edit and resubmit

Managers review submitted reports in Workforce → Expense Reports. Each report shows the full line-item breakdown, total amount, and a notes field for feedback.
