Recording SafeSport certificates and assigning coaches

A coach cannot be put on a team until a current SafeSport certificate is on file for them. This is enforced on the server, not just in the interface — the assignment itself is refused.

**Who can record a certificate:** an owner or admin. Editors can staff a roster but cannot decide that an adult is cleared, and a coach can never record their own certificate. Both halves are required: the coach supplies the document, and an admin who is not the coach records having reviewed it.

**To record one:**
1. Sports → Coaches, open the coach's row.
2. Under "Record a reviewed SafeSport certificate", enter the expiry date printed on the certificate you reviewed.
3. Press Record. The coach's badge turns to "SafeSport current" and their team chips become assignable.

**Expiry is enforced.** SafeSport training lapses annually. On the day a certificate expires the coach stops being assignable, and you are reminded by email at 30, 14, 7 and 1 days beforehand. A record with no expiry date does not clear anyone — an annual credential without an end date cannot be confirmed current.

**Turning enforcement on without breaking a live season.** The first time your org is evaluated, a 30-day window opens. During it, assigning a coach who is not certified still works but is flagged, and the banner on the Coaches tab tells you how many coaches would be affected. When the window closes, those coaches come off their teams automatically — their team assignments are kept, so restoring one is a single click once the certificate is on file. An admin who has finished collecting certificates can press "Start enforcement now" instead of waiting.

**To undo a mistake:** "Revoke certificate on file" pulls a record you should not have accepted. Revoking removes the clearance immediately.

**Which programs this applies to:** Youth League, Travel Club and School Athletics require it by default, with no setup. College, Pro Team and Pro Front Office do not, and must switch it on deliberately. Either default can be overridden per org.
