Tip pools and end-of-shift settlement
The Tips tab is where you define how pooled tips get split across staff at end of shift, and where you actually run the settlement.
Defining a pool:
1. Go to Food & Beverage → Tips → "+ New Pool"
2. Give it a name (e.g. "Standard pool", "Weekend pool")
3. Set the per-role percentages — they must sum to 100. Typical splits look like:
• Server 70 / Runner 10 / Busser 10 / Bar 10
• Server 60 / Runner 10 / Busser 5 / Bar 15 / Kitchen 10
4. Check "Use this pool when settling shifts" to mark it active
5. Save
Multiple pools (weekend vs weekday, brunch vs dinner) are supported — only one is "active" at a time. The Settle Shift section uses the active pool by default; flip the Active checkbox on a different pool to switch.
Running settlement at end of shift:
1. Go to Food & Beverage → Tips
2. In the "Settle Shift" section, pick the date you're settling (defaults to today)
3. You'll see a preview of the tips collected for that date — that's what's about to be divvied up
4. Check the staff who worked the shift, set their role from the dropdown, and (optionally) enter their hours
5. Tap "Settle Shift"
What the settlement does:
• Sums every paid order's tip from that calendar date
• Multiplies the total by each role's percent (Server 70% means servers share 70% of the pool, etc.)
• Within a role, evenly splits the role's share across the staff present in that role — unless you entered Hours, in which case it weights by hours worked
• Writes a single tipDistributions record with every staff member's payout amount
• Records who attested the settlement (you), at what time
Past distributions:
The "Recent Distributions" section below shows the last 10 settlements. Each one expands to show the per-staff payout breakdown, the total collected, the order count, and the attester's name. These records are immutable — they're the audit trail.
Re-settling a day:
You can run a settlement twice on the same date — it doesn't conflict, but it does create a second tipDistributions record. The Recent Distributions list shows all of them in date order. If you settled a day by mistake, contact Wally to mark the bad record voided (no client-side delete by design).
Hours-worked vs even-split-within-role:
If you leave the Hours column blank for everyone in a role, the role share splits evenly across them. Fill in Hours for at least one person in a role and the entire role's share weights by hours. This is the "Sasha closed and worked 9h vs Jamie worked the 3h dinner rush" case.
Forfeited shares:
If your pool has a role (say Bar 15%) and no one in that role is checked in for the shift, that 15% slice is forfeited — it does NOT redistribute to the remaining roles. Easier to attest; less argument at the end of the night. If you want it to redistribute, change your pool rules to drop the empty role.
Payroll handoff:
The tipDistributions record is the source-of-truth Payroll reads when running the next paystub. Settled tips flow into the W-2 box-7 "Allocated tips" line automatically (via the Workforce module's payroll engine). No double-entry.
