Tracking rental permits and licenses
The Permits tab tracks every rental license, occupancy permit, fire inspection, lead-paint disclosure, and similar compliance document. Each permit carries an issuing authority, identifier, issued date, expiration date, and an attached PDF.
Why this exists:
Most rental jurisdictions impose a stack of rolling deadlines:
• Annual rental license renewal
• Fire inspection (often triennial)
• Lead-paint disclosure (per-tenant, every lease in pre-1978 properties)
• Occupancy / certificate of habitability
• Section 8 / housing choice voucher inspections (annual)
Missing one is expensive and (in some jurisdictions) opens you to per-day fines or lease invalidation. The Permits tab keeps every deadline visible and fires reminders.
Adding a permit:
Rental → Permits → "+ New permit". Type, issuing authority, identifier, issued date, expiration, attachment. Save. The card lands in the active list with days-until-expiration.
Reminder cadence:
Same as the lease expiration reminders — 90 / 60 / 30 / 7 days before expiration, the org's notification stack fires. The day-of email includes a one-click "renew" link that pre-fills a new permit record copied from the expiring one.
Status colors:
• Green — valid, more than 30 days remaining
• Amber — within 30 days of expiration
• Red — expired (high-priority alert in the Overview tab)
Tenants and permits:
Permits are landlord-side internal data — tenants don't see them in the Customer Portal. Lead-paint disclosures are an exception: those are exposed to tenants for their records.
