Leasing requests: approval letters, deadlines and extensions
An owner asks to lease their unit from their community portal (Decisions, "Ask the board to lease your unit") with the unit, the intended start date, the lease term, how tenants will be screened, and any circumstances the board should know, such as a relocation. Requests appear under Governance, Leasing.
Reviewing (management or board):
Mark the request under review, add recommendations, and write to the owner. A message that states a requirement must cite the rule, or be sent marked "no rule cited", which the owner sees.
Deciding (board):
Approve, approve with conditions, or deny. Every condition and deadline is listed separately with its citation and, for a deadline, its date. The owner is emailed the approval letter, which states every condition and every deadline, how to ask for more time, and how the board decided, and says that no other condition applies unless the board records a new decision. The owner acknowledges receipt in the portal, and the board sees whether they have.
Deadlines and extensions:
The owner is reminded before each deadline. If their circumstances change, they ask for an extension in the portal and explain what changed. While the request is pending, that deadline is paused: it is shown as paused, reminders stop, and the approval cannot be voided or revoked. The board grants the extension (a new decision with the new date) or refuses it (a recorded resolution), and the owner is notified either way. A deadline passing never changes an approval by itself; only a board decision can.
