Scan a quote into an opportunity
Instead of retyping a distributor quote into an Opportunity + Quote, drop the PDF (or a photo of the printed quote) into Turtini and we'll do the data entry for you. Works best with Carahsoft, TD Synnex, and Arrow quotes — and most other reseller formats.
How to scan a quote:
1. Opportunities → click "Scan Quote" (top-right, next to "+ New Opportunity")
2. Drag-and-drop the file, or click to pick — PDF, PNG, JPG, HEIC, or WebP, up to 20 MB
3. The file uploads to your org's secure quote-uploads storage and runs through the image-moderation pipeline
4. AI reads the quote and prefills every field — distributor, OEM, end customer, contacts, bill-to / ship-to, contract vehicle, solicitation #, period of performance, and every line item with SKU / qty / unit price / discount / total
5. Review the preview — fix anything the AI missed, add or remove lines. Account and Contact are live-lookup fields: start typing a name and matching records resolve instantly (no scrolling a long dropdown); if it's a new customer, pick "Create new" right from the list.
6. Confirm which quote it is — "Cost quote (from a distributor or OEM)" or "Our quote to the customer". Turtini prefills the answer by reading who issued the document, but you make the call, because this decides where the money lands: a cost quote fills Cost Quote, a customer quote fills Amount of Quote. A cost total is never written into the customer-facing amount.
7. Check the reps Turtini matched — it looks up the OEM and the distributor on the quote in your Contacts, narrows by the territory the deal is in, and pre-selects the rep it is confident about. Each candidate shows why it matched and how strong the match is; pick a different one, or "Do not attach anyone", any time.
8. Set your markup (cost quotes only) — enter a percentage (e.g. 8) in the Markup field above the line items and every distributor line is marked up that many points for your quote. The line table keeps the distributor cost and shows the sell price per line; the subtotal shows cost + markup so you can see your margin before you send. Leave it at 0 to record cost only — the customer-facing amount then stays empty until you scan the quote you actually send.
9. Click "Create Opportunity + Quote" — Turtini creates the Account (if new), Contact (if new), the Opportunity (stage Propose), and the linked draft Quote with all the line items at their marked-up sell prices. The original scan is attached to the opportunity.
What gets extracted:
• Who issued the quote and who it is addressed to (this is what tells a cost quote from a customer quote)
• Distributor name (Carahsoft / TD Synnex / Arrow / etc.) and OEM (Red Hat / Cisco / etc.)
• End customer / buying entity, primary contact, contact email and phone
• Bill-to + ship-to addresses
• Contract vehicle (SEWP V, GSA MAS, ITES-SW2, etc.), solicitation #, OEM contract # and end-user account #
• Quote date, expiration, period of performance start + end
• Every line item — SKU, description, qty, unit price, discount %, line total
• Subtotal, tax, grand total
• A confidence rating for the whole read — high, medium, or low
When the AI is unsure:
• Individual fields the model can't read confidently come back empty — you fill them in
• Low-confidence reads get a red banner — review every field carefully
• The numeric totals you see are recomputed live as you edit qty / unit price / discount, so you can spot model arithmetic errors fast
• If the upload fails, the file isn't kept — re-upload and try again
Where things land:
• The Opportunity is created at stage "Propose" (you already have a quote). A cost quote fills Cost Quote; a customer quote fills Amount of Quote; a cost quote with a markup fills both
• The matched OEM lead and Distribution rep are attached to the opportunity by reference to their Contact records — nothing about them is copied onto the deal
• The Quote is created as a draft linked to the opportunity, with the distributor and OEM names captured for the Distribution / OEM Terms section in the PDF
• The original scan PDF is attached to the Opportunity so the rest of your team can verify the source
• Account is created with relationship "Customer" if it doesn't already match an existing account name; the modal will suggest a match if one looks close
Files and limits:
• Max size: 20 MB per file (enforced at upload by Storage rules)
• Files live under quote-uploads/{orgId}/... — only authenticated org members can read them
• Each scan runs through Google Cloud Vision SafeSearch like every other upload
Privacy:
Quote OCR runs on Claude (Anthropic). The model reads the file once — the extracted fields come back to the preview form, and nothing else is persisted by the OCR step itself. The PDF stays in your org's bucket until you delete the opportunity.
