Cleaning and damage charges — assessing incidental fees
Cleaning charges let you assess incidental fees — extra cleaning, damage, a smoking violation — against a reservation and post them to the guest's folio with a documented reason.
Charge categories:
Each charge is one of cleaning, damage, smoking, or other, so incidentals are classified consistently across every stay.
Fee presets:
Set up presets per property — a label, a category, and an amount (for example "Smoking violation", smoking, a fixed fee). Presets make a common charge one tap instead of re-typing the amount every time.
Assessing a charge:
1. Open the reservation and go to Guest Services → Cleaning
2. Pick a preset or enter a custom amount and category
3. Add the reason and, importantly, attach photos documenting the condition (photos run through image moderation)
4. The charge is recorded as assessed, then posts to the folio when you charge it
Why photos matter:
A damage or smoking fee is far easier to defend to a guest or a card issuer when it is backed by dated photos and a clear reason. Capturing them at assessment time keeps the record clean.
On the folio:
Once charged, the fee posts as a room charge and rolls into the reservation total alongside every other in-property charge.
