Credits change during a run — replacements, and who went on
A cast list is not one fixed thing for the whole run. Somebody leaves in week three, somebody covers on a Tuesday, and the program has to be right on both nights -- including afterwards, when the question is who actually performed.
**A replacement joining mid-run.** On the Credits tab, find the departing performer's credit and choose Replace. Give the person taking over and the first performance they play. One action does both halves:
- the outgoing engagement closes the day BEFORE that date, and
- the replacement opens on it, at the same billing position.
Nothing is deleted. The program for opening night still says who opened, because a closed engagement is the archive. Doing it as two separate edits is what goes wrong: close the outgoing one alone and the role is uncast for the rest of the run; open the incoming one alone and every remaining program prints both names. The Program tab warns you about the second of those explicitly.
You can also set a from and through date by hand on any credit, for an engagement you know in advance.
**Reading the program for a given night.** On the Program tab, the "Program for" picker lists every performance in the run. Choose one and you get that night's program -- the credits in force on that date, not a general one.
**Roles that go dark.** If a role is uncast over part of the run, the Program tab names the performances: "Emily is uncast for performances 14 through 18." It counts those positions from the same run the generator produced, so the numbers mean the same nights.
**Recording who actually went on.** Pick a performance and choose Record who went on. Tick anyone who did not go on and, if you know, who covered. That produces the announcement a house slips into the program -- "At this performance the role of Emily will be played by ..." -- on the public page for that performance.
This is deliberately sparse. A normal night needs no record at all: a performance with no record means the scheduled cast went on. You only write down the exceptions, which is the only version of this anybody keeps up with.
