Running the checkout desk — check out, check in, and damage

The Desk tab is where the day happens. It has two halves: Check out an item, and Out now (everything currently loaned).

Checking an item out:

1. Find the guest. Search by name, cabin, room, card, or wristband — whatever your staff scan or type. The token is a key that identifies the guest; no value or balance lives on it, so a lost card can't be spent.
2. Pick the item and a quantity (and, for a per-period rental, how many periods). If the type needs a waiver you'll see a reminder.
3. Click Check out. If it's a flat or per-period paid rental, the fee posts to the guest's on-property account right then and you'll see a confirmation. Free loans and hourly rentals post nothing yet.

Every guest must have an open on-property account — the same account their F&B, shop, and spa charges land on. If they don't, the desk will tell you to check them in (or open an account) first; it never fabricates one.

Checking an item back in:

• In Out now, click Check in on the item. For an hourly rental, the metered fee is calculated from the time it was out and posts now; an overdue penalty posts on top if it's late.
• Damaged? Click Damage? first, enter a damage fee and a note, then Check in with damage — the damage fee posts as its own line on the guest's account.

Anything still out at the end of the stay: when the guest's account is settled at debark, the desk automatically posts each unreturned item's Replacement value and marks it lost. Nothing slips through, and you never chase a charge after the guest has gone. The Outstanding tab shows your live exposure — how many items are out and the total replacement value at risk.
